Administrative Manager – Sales & Clinical Support

Leading medical technology company seeks an experience administrative manager fluent in English, German and French.

About the Role

We are looking for a detail oriented and self-motivated team player with a positive and proactive approach to join our client’s Sales & Clinical Support department. This role is fantastic opportunity to progress your career in the medical industry.

This is a dynamic role that will include a very wide range of responsibilities and would suit someone who is very well organised, confident and with a hands-on attitude. The Administrative Manager will need exceptional attention to detail and ability to multitask at the highest level are essential in this role.

Reporting directly to the VP Sales & Clinical Support EMEA with the opportunity to work closely with many talented teams in the company, such as Facilities, the wider Sales and Clinical Applications team, Product Management and Service Support.

Responsibilities include, but not limited to

Customer’s part

  • Logistic follow-up with Customs and Shipment for VAT or import validation
  • Delivery follow-up on a daily basis Communication with Field Service Engineers and Clinical Application Specialists

· Assist Global Export Manager in UK in managing end to end logistical process solution for all EU shipments

  • Travels booking management for customers Site Visits or Trainings Payment of SVs
  • Help in trainings organisation
  • Forms and customers survey follow-up
  • Help in Tender response for admin part
  • Marketo leads management and synthesis
  • Preparation of a quarterly customers information letter

· Assist with translating documents and dealing with general product queries

  • Handling official mail from customs authorities
  • CRM reporting
  • Any other administrative duties that support the business in the future

Events part

  • Search and order venues / booth / catering for 3/4 events a year (SFRO APMP SFPM…)
  • Prepare a synthesis document so that sales manager can quickly validate their choice
  • Booth management during events Attendees list management
  • Congress demo system + accessories management booking, importing, returning
  • Invoice payment follow-up of events
  • Goodies and other gift for customers management.

Profile Required:

  • Minimum 5 years as sales / market assistant experience
  • Must be fluent in English, German and French
  • Autonomous, Rigorous, Synthesis Spirit, Teamwork, Flexibility
  • Very good written and oral communication in English, French, German (Spanish, if possible)

· Experience in logistics or shipping desirable but not essential

  • Good knowledge of Microsoft Word/Excel/PowerPoint
